WorkWeb invites its customers to ask if they can integrate system X, Y, or Z.  Most of the time, where there is a will there is a way.

We welcome our customers to introduce other systems that are outside of the functional boundaries of WorkWeb that they would like to integrate with.

We have many API’s that are available to our user base that we have built and maintain. 

We have many more connections on the development roadmap.

Microsoft Office365 Outlook & Exchange Email

WorkWeb can provide Microsoft O365 Licensing if you do not already have a source, billed by WorkWeb.  WorkWeb is an Integrated Software Partner of Microsoft.

This integration enhances the utility of the business activities conducted out of the CRM, Ticketing, Projects systems. 

Users that elect to send an email from within the WorkWeb system when working on items related to a company or person can enter key database information, write a note and send a customer or templated email.  Emails sent and received with discrete tags are automatically tracked and attached to the originating location.  For example, a technician can update a Ticket and send an appropriate templated email with update notes to the customer while in the WorkWeb system in the same step as changing key database items; return emails from the customer automatically map to the originating ticket.

Contact lists can be synchronized, and in some cases can lead to the seeding of the CRM when appropriate. 

Throughout the Tasks, Tickets, Project Management systems there are opportunities to schedule an appointment.  Calendar sync is an important feature of a ticketing, dispatch and scheduling systems.

Emails can quickly be tagged from an inbox to a particular Customer that a user would like to save quickly to the Customer record.

If you do not already have a Microsoft O365 Account, WorkWeb can provide you with a storefront to help you set up and link up to WorkWeb.

WorkFlow Emails sent from personal email vs generic email

When staff work with their inhouse WorkWeb Administrators to set up complex WorkFlow sequences, sometimes (if not most-times) it is advantageous to have the emails sent externally or internally from a specific users personal email.  The WorkWeb PowerTools WorkFlow Email system provides the ability to have some workflow triggered emails sent from generic@workweb.io and other emails to be sent out by personal personal and/or business email name@mycompany.com.   

Example Workflow Sequence:

Upon Change of Prospect Status (or other condition) to “Sequence 1” trigger “Sequence 1” WorkFlows:

Instantly: Task set for Sales Rep for iterative note taking over time & Send Email to named Primary Contact established on the Prospect from the Sales Rep’s personal email address.  

Day 2: Send Email to Primary Contact from the Sales Representatives personal email address in the middle of normal business hours.

Day 3: Send Email with XYZ Attachment(s) located in the WorkWeb PowerTools DocumentVault from the Sales Rep personal email & trigger a reminder *visual alert* to the Sales Representative (reminder to consider the situation with their intuitive personal human mind).

Day 10: WorkWeb Workflow Email system emails the Sales Representative at their personal email address in the middle of the night for first read in the morning from generic@workweb.io (reminder to consider the situation with the human neural-network and intuitive consideration).

Day 20: WorkWeb WorkFlow system sets Tasks for Sales Rep to either press for HTML Email Blast Opt In and/or add Contact Email to MailChimp HTML Target List.

Day Unlimited: Unlimited Generic Workflow Emails + Unlimited Personal Emails + Unlimited Tasks/Alerts/Notifications/Reminders.

End Sequence if the Prospect Status is changed away from “Sequence 1” to something else.

 

MailChimp (Email Campaigns)

Customers need a Mailchimp account.  There is a freemium account that works for many companies.  There are also benefits to upgrading the MailChimp account to access analytics and additional systems and values.  Customers need to sign up for MailChimp on their own, independently of WorkWeb.  Customers need to link the systems in WorkWeb.

Users can filter out a group of Contacts from their CRM, bundle them up in a Campaign and ship that list to MailChimp.  Sales & Marketing teams use this integration to quickly populate their Email Marketing Campaigns.

MailChimp has a freemium and premium feature set, either way, WorkWeb customers must set up and maintain their own MailChimp account. 

WorkWeb PowerTools WorkFlow Email system is not an HTML email blast system.  Marketing teams that use MailChimp for its many tools and HTML emails appreciate this API because it can be challenging to keep lists of targets with opt-in status for HTML Email Targeting synchronized.  

Avalara AvaTax (Sales Tax)

Customers need to sign up directly with Avalara on their own.  Customers link WorkWeb and Avalara.

WorkWeb customers that are also customers of Avalara can link up their Order and Invoicing/Billing systems for real time instant Sales Tax calculations with the AvaTax API Engine.

WorkWeb Quotes can be sent out with estimated Sales Tax and Invoices can be created and settled with real time automatic sales tax details captured and sent for processing.

 

Avalara also provides its customers with Sales Tax codes for their catalog and regional footprint that informs WorkWeb and the AvaTax software systems. 

Avalara also provides its customers with Sales Tax Filings and Management.

Kaseya Remote Management & Monitoring (RMM)

WorkWeb is a Kaseya Partner/Distributor.  WorkWeb provides a purchasing option for best in breed RMM & Cybersecurity tools.  WorkWeb can provide MSP & MSSP & Datacenter Companies that want to become a Distribution Partner with access to a wholesale pricing model.  WorkWeb can provide a retail purchasing and billing point for Kaseya products and services.  

Customers link WorkWeb and Kaseya ticket systems.  Kaseya Administrators have an advanced end effective Web Portal user interface that is used extensively on a minute by minute level for the help-desk and service-desk of IT teams using Kaseya VSA to manage and monitor computer, server and network devices and traffic.  WorkWeb has an API connection to the ticket system in Kaseya VSA which allows the team to use WorkWeb Tickets, Tasks, Alerts, Notifications, Reminders, Emails, Reporting, Escalations (WorkFlow) in the core PSA system.  

Managed IT Providers (MSP’s), Managed Security Services Providers (MSSP’s), Datacenters, and Internal IT Departments deploy Remote Management and Monitoring (RMM) Software suites to the computer and server end points under their management.  Kaseya RMM is an industry leading RMM software suite.  WorkWeb has key ticketing integrations to provide their ticket triage manager with wider scope. 

The WorkWeb & Kaseya RMM integration helps Ticket Managers stay focused on a primary ticket system, dashboard and unified WorkFlow Automation for maximum efficiency and escalations management.

Kaseya Traverse (Key Data Mapping)

Customers can sign up directly with Kaseya on their own or they can purchase Kaseya products directly from WorkWeb.  WorkWeb can provide MSP & MSSP & Datacenter Companies that want to become a Distribution Partner with access to a wholesale pricing model.  Customers link WorkWeb and Kaseya.

WorkWeb Service Inventory Module is similar to a Kaseya owned company/software called ITGlue.  The WorkWeb Kaseya Traverse API provides companies with a viable alternative option: WorkWeb Service Inventory Module.  Kaseya Traverse is a powerful visualization and analytics toolset for discrete IT infrastructure.  Kaseya Traverse Administrators have a powerful and effective Web Portal users experience and maintains a high degree of use by purchasers.  One core value proposition of using a PSA/Database system is the storing, updating and presentation of key structured data.  The WorkWeb / Kaseya Travers API allows the IT and Cybersecurity team to decide what key data they want from Kaseya Travers they want store and automatically update on WorkWeb.  

The WorkWeb Customer Portal has the ability for WorkWeb Admins to grant their customers access to ‘Service Inventory’ records.  Key discrete IT infrastructure data can be passed securely to and from WorkWeb.  WorkWeb WorkFlow can be configured to keep parties updated and proactive.  

Key End Point Data including Passwords housed on PSA is passed to the RMM which is passed to end points and visa versa.

Customers need to sign up directly with NinjaOne RMM on their own.  Customers link WorkWeb and Ninja RMM.

Authorize.net (Digital Payment Gateway)

Customers need to have a relationship with a Merchant Processor.  Authorize.net is a world leading Digital Payment Gateway that nearly all Merchant Processors interact with.  Customers ask their Merchant Processor for an Authorize.net credential, which is then entered into WorkWeb to activate the billing platform for digital payment.  Merchant Processing fees are all an element of the relationship with the customer’s merchant processor.

WorkWeb customers can contact their existing Merchant Vendor Processor to have an Authorize.Net username and secret key issued that can be entered into the Invoicing/Billing system in WorkWeb.  If you do not have a relationship with a Merchant Processor with Authorize.net access, WorkWeb can provide a quick and easy answer: CLICK HERE to work with our Partner Company – Merchant Focus Processing, Inc.  *Fill out the online form and you will quickly be contacted with further instructions.  Generally speaking, Merchant Focus will coordinate batch processing which delivers the earned revenue from digital payments into your bank account, and they will provide you with an Authorize.net Username/Password which is needed to for the WorkWeb billing API to accept digital payments.

Pre-Authorized Credit Card & ACH digital payments can be triggered for processing via the Authorize.net digital payment gateway.

Invoices that are sent for customer manual payment can click on the “Pay Now” button on the email with invoice, enter their payment details in a safe, secure and industry leading digital payment system.

QuickBooks Online (Accounting)

Customers need to sign up directly with Intuit QuickBooks Online.  Customers link WorkWeb and QuickBooks Online.

WorkWeb Invoicing and Billing system has an overlap with QuickBooks, specifically WorkWeb creates new invoices and in some cases automatically triggers payment capture.  The WorkWeb QuickBooks Online integration passes new invoice details and their status to QuickBooks, and keeps the status of invoices synced between systems.

QuickBooks Desktop (Accounting)

Customers need to sign up directly with Intuit QuickBooks Online.  Customers link WorkWeb and QuickBooks Online.

This feature is included in the WorkWeb General Ledger Connector Module.

WorkWeb can export and import QuickBooks Flat Files

Sage & Sage50*formerly Peachtree* (Accounting)

Customers need to sign up directly with Sage and Sage50 (formerly Peachtree).  Customers link WorkWeb and Sage Peachtree.
