User Seats

Enterprise User

$ 40 per user per month
  • Users that have a need to access the entire list of purchased modules need to be issued a WorkWeb Enterprise User Seat.
  • Enterprise Seat Users can access the following Modules: ALL
  • Security & Personalization features within WorkWeb allow the Administration team to offer wide ranging access but also limit access to:

  • Gold Users have wide access to system functions throughout a wide range of modules but they do not have access to a wide range of Administration systems that Enterprise Users have access to. Gold Users are usually issued to the operations and financial users that interact heavily with the system for the value benefits of the system. Gold Users request changes from the Enterprise User Admins that are responsible for Process Engineering and PSA Management.

Sales team members prefer the Bronze seat compared to the enterprise seat because it reduces systems fatigue for them.

  • One of the key value functions of WorkWeb is the instant ability to provide your customers with a username and password to a very functional end to end customer portal.
  • WorkWeb customers can provide a button/link on their website (if they chose) for “Customer Portal”. WorkWeb can build a custom login landing page that is branded correctly so the end customer does not feel like they are logging into a SaaS product, but instead logging into the business directly.
  • WorkWeb customers that offer their customers a Client Portal user seat benefit by having an interactive experience with features controlled by the security that the Admin sets up.
  • The WorkWeb administrator that issues a Client Portal user seat to their clients can provide one or more of the following experiences for their client:

Vendor Portal Access

  • WorkWeb Vendor Portal is a function of the RFP module, and has no direct cost. A WorkWeb customer that is using the RFP module will release an RFP email to a Channel Manager or Order Desk with structured and unstructured data, notes, attached documents and a link that allows the responding person to enter key structured and unstructured data and notes, attach documents and submit the RFP answer back to the requester.
  • WorkWeb will develop a Vendor Portal similar to the Client Portal and Partner Portal when a use case is presented. A WorkWeb professional consultant or WorkWeb Partner can help uncover needs from its customers.

Partner Portal User

Base Administration

  • WorkWeb Power Administrators have access to many very important features and functions in the Base Admin module that they will use on a regular basis.
  • WorkWeb is above average in the flexibility and customization options available. The Base Administration system is a big system and the Power Admins do spend a considerable amount of time interacting with features in the Base Admin Module.

PowerTool & WorkFlow Automation

  • The WorkWeb Base module contains most of the core administration systems of WorkWeb.
  • WorkWeb Power Administrators have access to many very important features and functions in the Base Admin module that they will use on a regular basis.

Customer Relationship Management (CRM)

  • The WorkWeb CRM is designed to operate as a Business to Business (B2B) focused system. Business to Consumer (B2C) companies can absolutely use the CRM as well, but the overall context and design of the system is designed for B2B management.
  • The WorkWeb CRM is above average in its customization features compared to comparable systems, which allows businesses to wrap the system around them instead of trying to bend the business to the system.
  • The WorkWeb CRM is above average in its multi-entity relationship database. WorkWeb is a CRM+ system, an end to end system for Sales, Operations, Financial and Leaders to track work all related to clients. WorkWeb’s OneView allows for unparalleled situational awareness to all team members because all of the notes are ultimately tracked and listed to the company Prospect or Account record. The overall data presentation on the CRM is significantly more than a typical standalone CRM.
  • The CRM is integrated with MailChimp, allowing the user to bundle up a set of Contacts and send/sync them into a MailChimp Campaign. This functionality works with the freemium and premium accounts of Mailchimp.
  • The CRM is integrated with Microsoft Office365 Outlook and Exhange Email. The users connect their account and sync up to 60 days of Email, Calendar and Contacts. There are many areas of WorkWeb that have an email feature that allows users to send and receive emails related to customer issues and records throughout the system.

Partner Relationship Management (PRM)

The Partner Relationship Management Module provides a team with a logical and obvious location to track all of the information that they want regarding any and all Partners. User Defined Fields, Documents, Tickets, Projects, Commissions are all elements of data and organization that in many cases has equal or more complexity compared to the information tracking for customers. The Partner Portal allows the organization to offer a digital portal to provide interaction in real time with critical systems. The OneView display system is a multi-relational database display function that allows the user to see all relevant related items and notes - according to their security profile

Vendor Relationship Management (VRM)

Request for Proposal (RFP) Management

  • Most Businesses spend a lot of time, energy and money training sales people and providing systems to enable sales teams to gather Discovery information in the most complete way possible, with minimal annoyance to clients. Administrators configure User Defined Fields into organized sections to aid the sales person collect the details needed to enable proposal production. The RFP Module used to its fullest function, the RFP Module allows sales and proposal/quote/orders managers to send complete discovery details, including documents, to one or more distribution or vendors that will provide a proposal or quote given the discovery details. The RFP Module allows the vendor to enter details and answer the RFP in an interactive extension of the WorkWeb system. WorkWeb Automation WorkFlow triggers help to keep all RFP's moving at high velocity. The OneView display system is a multi-relational database display function that allows the user to see all relevant related items and notes - according to their security profile.

Project Management

  • The Project Management Module can be used in two modes, adhock Projects and Milestone Based Projects. The WorkWeb Project Management Module is a milestones based project management tool that is ideal for project types that are highly processed and repeated often. Administrators create a Project Template for a particular type of Project and defines the project milestones, predecessesors, durations, expted work time. Users that need to start a new project select from one of the pre-established project templates and gets started. Users can also start a new Project and define Milestones on the fly for a one off project. WorkWeb Automation WorkFlow keeps the team unified and optimized so that Projects are moving quickly at high quality. The OneView display system is a multi-relational database display function that allows the user to see all relevant related items and notes - according to their security profile.

Service Inventory

  • The Service Inventory Module increases the customization of data management to the next level. The CRM, PRM and VRM modules each allow for a wide variety and unlimited use of user defined fields. The Service Inventory Module allows for expansive pages of custom defined fields organized into the sections that are needed for each situation. The Administrator sets up templates of Advanced User Defined Fields into page templates. Users that need to track special, specific and sensitive information on one or more distinct inventories related to a Customer, Partner or Vendor simply create a new Service Inventory, select the appropriate template of data fields and gest started with data entry.
  • The Service Inventory Module is integrated with Kaseya Traverse for MSP and MSSP Data Management and Control.

Service Inventory Enhanced Financials

  • The Enhanced Financial upgrade to the Service Inventory Module allows for role up financial data across multiple related Service Inventories that are built to track specific different Contract/Services that a customer has or had.

Invoice Expense Management

  • Some businesses take the time to check their own Accounts Payable invoices against a system that will highlight any invoices that are higher or lower than expected. Some businesses provide a service to other companies to check invoices against a list of known liabilities with expected numbers and defined thresholds of viability tolerance. Administrators set up a list of invoices that are expected. Users enter invoice totals against the software and any invoice out of tolerance is flagged for review. Tickets can be opened against invoice disputes allowing for tracking to resolution.

Catalog Inventory Management

  • Any business system that has an Orders function starts with a Catalog function. Administrators manage their catalog inventory items, and all of the metadata related to each item, including tax codes and commissions considerations. Administrators can program their Packages, Promotions and Discounts to activate and deactivate on a calendar. The Catalog system is able to link with other catalogs of other WorkWeb customers in a promotion of Industry Verticalization.

Order Management

  • The Order Management System allows users to interact with the catalog to build a Quote/Order form that will be presented to a customer for signature. The Order System allows businesses that want to have an "Order Approver" process have the ability to activate that control. The Order System allows for staff with a more senior "Approver Level" to have automated access to deeper discounts as well and or the ability to manually override a price, which allows for business case consideration for individual based pricing moments. The Administrators set up the Order Templates that are needed. The User's select through the catalog, and select an Order Template. After the order is reviewed and approved (if that feature is activated) the user can attach additional documents and chose between 2 delivery methods: Email with Attachments or Email with ESignature Function. WorkWeb Automation WorkFlow keeps the Sales & Order teams operating at high volume and quality for the customer. The Order system is able to link with other order systems of other WorkWeb customers in a promotion of Industry Verticalization.
  • WorkWeb is integrated with SignNow for ESignature functionality, which require a SignNow Enterprise API Account which can be purchased through WorkWeb.

Production & Assembly Control

  • Businesses that take in raw or partially constructed goods and add value to further refined goods or finished goods most often are operating repeating processes according to a wide range, demand and customization stress from the market. Administrators configure the elements of their plant, configure their specific recipes/instructions, staff and machine scheduling. Administrators configure their inventory systems for automatic reload of supplies and/or configure the triggers to alert purchasing of refresh needs. Users configure their plants for production according to demand and schedule. Users push product through defined processes with detailed instructions available and data entry along the way. Warehouse, Shipping and Dispatch systems provide the entire need to know team from sales, operations, financial, field and leadership with real time and futures understanding of inventory and capacity. The manufacturing system is able to link with other manufacturing systems of other WorkWeb customers in a promotion of Industry Verticalization.

Commissions Premium

  • WorkWeb customers have processed over $4B of customer billables through the WorkWeb Commissions platform for the specific purpose of managing commissions. Sales Contracts and Commissions Agreements are as diverse as the biospheres ecosystem, the WorkWeb Commissions platform was designed to provide unparalled ability to control commissions expectations to match the reality on the ground on a per commission basis, while at the same time providing unparalled processing speed with exquisite attention to detail. Businesses that use either Commissions Premium or Standard have a revenue stream that is specifically based on one-time and/or residual commissions from one or more sources, that are a result of a contract brokered to a customer.
  • What makes this version premium is based on the levels and types of commissions receivers. The premium version of Commissions is built to split commissions to (a) employees of the business, (b) 1st degree downstream Partners of the business, (c) 2nd degree downstream Partners and (d) the House retention after split payments.
  • The Commissions system is designed to take in small or massive spreadsheets of account, invoice and commissions data and check for missing payments, payments out of tolerance, and payments made in error. The Commissions system is designed to split each commission that was paid as expected each according to its specific split details.

Time Card Management

  • Throughout WorkWeb, nearly everywhere that a user can enter a note, the user will have the ability to enter the number of hours and minutes they spent to complete the task and engage the database. Users enter their time data throughout the day as they traverse their workload and the database. Users pull data into their time sheet and is offered the option to add time details and manage their timesheet and submit them for approval and review. Managers

Service Contracts & Invoicing

  • Businesses often spend a tremendous amount of time and treasure reliably creating complex invoice incorporating elements of pre-authorized recurring billables, project and labor time, one-off charges and purchases, metered usage, sales tax and more. The complexity of invoicing ramps up when the service contracts include items such as assets on site, labor assets and rates assigned, included blocks of labor time included per month in either 'use it or lose it' or 'full/limited hour role over month over month', Service Level Agreement and Escalations considerations. The Service Contract macro feature is designed to provide the filter matrix per customer and stages the bulk raw data from all areas of the system that have invoicing implications per invoicing period. When the moment comes to create the invoice the bulk raw data that needs to be considered for the invoice are run through the Service Contract Controls for that customer and the output is a consolidated invoice incorporating all viable credits and debits that need to be applied to an invoice. The invoicing system can be configured to automatically trigger payment through the payment gateway systems for pre-authorized billing customers and/or to either automatically or manually send invoices to clients via email for payment. The Customer Portal provides a clean way for the customer to not only interact with features such as tickets, but also their invoices and payment options.

General Ledger Connector

  • WorkWeb's Invoicing/Billing platform is designed to create new invoices and settle any invoices as possible moving from Receivable to Paid. The General Ledger Connector system is designed with several sync concepts in mind. WorkWeb can integrate to a system for a customer for a reasonable charge. WorkWeb has an active bi-directional API with Quickbooks Online, though most businesses use heavier server based versions of General Ledger Software. WorkWeb's General Ledge Connector is currently configured to download and upload General Ledger Flat Files for the specific purpose of creating a common picture between the list of invoices, their financial and metadata information in WorkWeb and the General Ledger Accounting Software that is being used.

Custom Module

  • WorkWeb has developed custom modules for its customers. If the customer wants to keep the module private to themselves, they can. If the customer wants to design and build a module that is also available to other companies, WorkWeb does offer a royalty return to those customers turned Partners.
